Data Futures (4) at the University of Glasgow

31 August 2018      Alison McGuiggan, Deputy Director, Data Quality

The Story So Far

The University of Glasgow set up a working group in April 2018 to oversee the preparation and implementation of Data Futures.  Part-time Project Manager resource has been allocated and a business case, detailed plan and risk log are in place.  A backfill resource (1 FTE for two years) has been recruited into the team responsible for delivery of our statutory returns to HESA and SFC.

Where are we now?

We have identified the business processes responsible for the collection of existing attributes and are conducting a gap analysis to address any issues with new requirements.  We have informative monthly webinars with our software supplier, Oracle (Campus Solutions) and we will participate in beta.  The lack of stability in the HESA specification, and the number of unknowns at this stage, make preparations challenging. We are in the process of provisioning a Data Governance Management System (DGMS) to enable us to proactively monitor and correct the source of our HESA data - we are expecting this operating model to inform business process and system change where necessary.

What’s next?

There is a need to engage with staff across the university to explain what Data Futures will mean for them and to stress the importance of recording accurate data (first time) in our student records system, as early as possible.  We will review the final specification once this is released next month and revisit our impact analysis documents as required.  In support of our preparations for Data Futures, we are formalising our Data Governance to enhance our data capability and bring about a culture change to promote the message that data is everyone’s asset and everyone’s responsibility
